Agent Broker Procedures

How do we process a Premium Finance Agreement?

  • When generating the premium finance agreement, please double check that the down payments, coverage, taxes and fees are correct. If the agreement is submitted incorrectly, it may delay the funding and a new premium finance agreement may be required.
  • Make sure the agreement is signed by both the insured and the agent.
  • Collect the down payment. Make the check payable to the agency.
  • Retain your commissions and forward the net to the carrier or GA.
  • Fax the agreement to 866.839.3090.
  • The processing center will board, underwrite, book and fund the amount financed to either the General Agent, Carrier or Agent depending on the approval level.
  • The account must be current in order for us to fund. If the first installment is past due, then we will not fund the account. Please collect the down payment and any past due installments (Rule of thumb: If an installment is due within 5 days of the first installment, collect it along with the down payment) and make note on the fax cover page, along with copies of all money collected, so we can then fund the amount financed less any installments that you have collected.

If approved for pay direct, are the procedures different?

  • No, the only difference is that your agency will either receive a check or electronic deposit of funds for the amount financed.

When entering carrier and GA, wholesaler information - is it important to make a distinction between the two?

  • Yes, and the two will never have the same address. You must make the distinction between the two since correspondence is sent to both of them in most circumstances.

What if the carrier or GA is not listed in the library of carriers for Internet quoting?

  • There is a NEW CO listing for the carrier and NEW GA listing for the general agent in the beginning of the search menu. You will need to list the name of the carrier or GA, wholesaler in the appropriate listing with the city, state and phone number where possible. PFA will then add the carrier or GA to the menu once it is booked for future reference.

When entering policies, is the agent/broker responsible for the information such as minimum earned %, cancellation provisions, policies that are auditable, PUC/ICC filings, short rate return, and assigned risk?

  • Yes, these all dictate the risk and exposure that the finance company assumes. Information that is improperly input could alter our return in the unlikely event of cancellation.

How do I get approved for agent/broker pay direct?

  • We typically do not allow funding to agencies direct unless we underwrite and approve your agency for pay direct. If you wish to have funding directed to you instead, you must e-mail, fax, or mail a list of your carriers and GA's that you do financing with. We will need the contacts at these companies as well. Once we get approval to fund you, we can begin funding you direct.

What if I need more flexible terms or rates?

  • You must call Premium Finance Associates for approval. The system may allow you to quote the premium, but not print the contract. We must pre approve any contract over $100,000 in the amount financed.

How do I offer the ROLLING INSTALLMENT option?

  • The agent/broker must send, fax or e-mail a copy of the initial or first year agreement to the Cleveland office for special handling. Ask about our brochures for point of sale handouts for producers.

How do I set up on /ACH (auto debiting payments from the insureds account)?

  • This option is available through our Internet Quoting and Windows Quoting Software. Fill in the proper fields on screen, print out the ACH form that's included within the software or website for the insured to complete and submit along with the finance agreement.
  • Most of the online platforms have easy to follow instructions, but if you are unsure, please feel free to call us at (866)FRIEND-0 (374-3630).

What if I have an additional premium to add to the contract?

  • You must call our service center 888-875-4000 for help in adding additional premium or endorsement.

How can my insured pay by check on the web?

  • Our Internet Quoting and Viewing platforms have instructions, but if you are unsure or need help the first time, please call us at (866)FRIEND-0 (374-3630).

How do I get approval for a contract that exceeds the $100,000 amount financed?

  • Either quote on the Internet or call Premium Finance Associates for assistance at (866)FRIEND-0 (374-3630).
  • Internet system may allow quotes up to $500,000, but will not print.
  • Call or e-mail Premium Finance Associates (info@premfinassociates.com) to request/activate approval procedures.
  • Audited Financials are recommended, fax to 866.839.3090 or email to info@premfinassociates.com.
  • Usually within an hour, we will have an answer - but can take up to 24 hours.
  • PFA will e-mail, or fax the approved contract to your agency/brokerage.
